Enquiries by phone, WhatsApp or in person: confirmation by link, and deletion without it

Lidin prepares a privacy notice with a confirmation link for the person. With no confirmation, meeting or agreement, the card is deleted after 30 days.

An enquiry from a website form arrives with a consent box the person ticked. An enquiry by phone, on WhatsApp or during an office visit has no such box: the person ticked nothing. Enquiries like these now have a path of their own.

When an enquiry is added by hand, the employee picks the channel and marks whether the privacy notice was given orally, in writing or not yet. If the person said yes during the conversation, that is marked too.

The notice and the consent question go out from the lead card. The employee picks WhatsApp, SMS or email and the language of the message: Hebrew, Russian or English. Lidin puts the text together with a personal link, and the message opens on the employee's own device, ready to send.

The person confirms with one tap. The link opens a short page with the office name and a link to its privacy policy, and an "I agree" button. The confirmation is saved on the enquiry. Opening the link alone records nothing, so a link preview in WhatsApp does not count as consent.

Until the person confirms, the card carries a "Not confirmed" badge, and the details are used only to reply to the enquiry and do not go to ad platforms. If the notice has not been sent yet, the card says "Privacy notice not sent", and a filter gathers all such cards.

A card with no confirmation is deleted after 30 days. The count starts again with every new incoming contact, a call or a repeat enquiry. A card is kept if a meeting was booked or held on it, or if an agreement was marked. The status of the enquiry does not stop the deletion. A separate filter gathers the cards with 7 days or less to go, and they also appear in the daily digest for staff when the office has switched it on.
