“External reports”: one address for summary figures, with no access to leads
The office owner issues a token that lets an external report read summary quality figures by source and campaign, with no leads and no personal data in them.
An advertising report, a BI system or a program that assembles a weekly summary needs figures out of the system, not people. Until now, handing figures to a program meant handing it an account with the right to read leads, and with that right come the names, the phone numbers and the texts people wrote. Here too, the choice was between receiving nothing and receiving everything.
There is now one more account level, “External reports”. It is not an account for a person: it cannot sign in to the panel and it has no screens at all. One address is open to it, and that address returns summary figures for the period asked for.
What the address returns: the number of leads, how they are distributed across the stages, how many reached each stage, the share of qualified leads and the share of deals, and the average time to the first response. All of it in breakdowns: source, campaign, ad set, ad, UTM tag and language line. A lead that arrived without any tagging is not dropped from the calculation but shown as a separate row, because “how many came in outside the tagging” is one of the questions a report is opened for.
What it never returns: the name, the phone number, the email address, the text of the enquiry and the click identifiers of the advertising systems. There is no row for any individual lead in the response, and the breakdown by member of staff is closed. This is not a setting that can be switched off: the response itself is built that way — only summary figures go into it, so there is nowhere for the fields of an individual lead to come from.
The owner opens and closes this door personally, on the Settings → “Lead quality API” screen. Sharing is off by default, equally for a new office and an existing one. The owner issues the token and its value is shown once; revoking it takes one button, and the report that was using it stops receiving data immediately. Turning sharing on and off is written into the consent log, and every request to the address into the access log: which period was asked for and how many rows were handed over.
Deal amounts are a separate decision. They are sent only when the owner has ticked a second box for them, and only as a campaign total, not per lead. If the amounts block is off for the office, that box is not available at all.
- A token on its own is not enough: until an allowlist of addresses or a signature on the request is configured, the address does not answer at all.
- The figures are calculated by the same code that feeds the “Statistics” screen, so the number in the report and the number on the owner’s screen cannot drift apart.
- The token used for receiving leads does not pass here: this door has a scope of its own.
- The help section has an article: how to turn it on, what is sent and what is not, and how to issue and revoke a token.
The “Marketing analyst” role opens the same figures to a person signing in to the panel; this address does the same for a program.
